Your booking page colours, a clinical record switch, and a fuller Billing tab

Nothing you have set up has changed. Your prices, colours, team access and messages are exactly as you left them. Everything below is either something you can now do, or something that now shows you more than it did.

Your booking page, in your colours

Owners now have a Booking page theme card in Settings, Clinic. Pick one of the ready-made presets or customise your own, check the preview, and press Save theme. It colours your booking page, your gift voucher page and your patient forms. A theme where text would be hard to read cannot be saved, and Reset to default puts things back.

Ask patients to tick your booking terms

In Settings, Clinic, Online booking policy there is a new tick box: Ask patients to tick that they have read your booking terms before they confirm. Turn it on and your terms appear on the last step of booking with a box the patient has to tick. It only shows once your terms and conditions are filled in. It is off unless you turn it on.

Choose the order of your team and your categories

  • Settings, Team, Practitioner order. Use Move up and Move down to set the order practitioners appear on your booking page and as columns in the diary.
  • Settings, Treatments. Drag a category in the category list to change the order patients see on your booking page and your embedded price list.

Both are for owners, and neither changes anything until you move something.

Reviews have their own settings page

Everything to do with reviews now lives in Settings, Reviews. Choose where review requests send patients (Both, Google only or Here only), and connect your Google listing with Find my listing then Connect so the review link fills itself in. If you had already added a Google review link, it is still there. Review links in requests now stay open for 90 days.

Every payment on the Billing tab

A patient's Billing tab now has a Financial history card listing every payment and refund taken in AesthetiClinic, newest first, beside anything carried across from your previous system. Use All, AesthetiClinic or Previous system to narrow it. Before, a patient who had only ever paid you here showed nothing at all.

Make every treatment free to book, in one go

If you have decided to stop taking a booking reservation fee, owners can press Make every treatment free to book in Settings, Treatments and confirm with Set all to £0. You can put a fee back on any single treatment afterwards. Nothing changes unless you press it.

The diary

  • What is booked today. In day view, a line under the date shows how many appointments are booked and a count for each treatment, in its category colour. Cancelled appointments and no-shows are not counted, and the line is hidden while patient names are hidden.
  • A tidier header. The top of the diary is now two rows. View holds Hide patient names, Show cancelled and Show full day; Key explains every colour and mark, including your own treatment colours; Export downloads the diary. You can jump to any date with Go to date, and in day view the double arrows move a whole week.
  • Resend confirmation. If a booking confirmation was held back because one email address had too many in an hour, the appointment says so and offers Resend confirmation.

For owners: a Clinical record switch for each team member

On the Team page, each person's access now has a third switch, Clinical record. With it off, that person can still see bookings, contact details and alerts and take payment, but cannot open treatment records, photos, prescriptions, clinical documents or completed form answers. Nobody's access has changed: the switch shows how each person is set today.

Changing it asks for your two-step verification code, because it decides who can read medical records. If you have not set up two-step verification yet, you will be taken to do that first.

Two-step verification for everyone

Anyone on your team can now protect their sign-in with a code from an authenticator app. Go to My account and press Set up two-step verification. It takes about two minutes, and you get ten recovery codes in case you lose your phone. New clinics also see a Protect your account card during setup.

Send a document to a patient

From the Documents card on a patient's record you can now send a document straight to that patient. They get an email, and the document appears in their patient account. If the email could not be sent, the record tells you, so you can try again or pass it on another way.

Devices, skin assessments and patch tests

Owners have a new Settings, Devices page to list the lasers and other devices you use, with their handpieces and service dates. On a patient's Clinical tab you can now record a Skin assessment and keep track of Patch tests, including reading them back.

Smaller things

  • Stock. The product list has a search box that matches brand, name and category.
  • Online shop. If you offer collection, the checkout now names the location the patient collects from, and patients choose which one if you have more than one.

Anything you need to do?

No. The two worth a few minutes: owners, set up two-step verification in My account now, so changing someone's access later is one code rather than a detour; and if you have been asked to use your own colours, try a theme in Settings, Clinic.
