Sending a document to a patient
You can send a document from a patient's record to that patient. They open it from their patient account, so the file itself never travels by email.
Sending it
- Open the patient and go to Forms & documents.
- On the Documents card, press Send to patient beside the document.
- Check the note, then press Send email.
The patient gets an email with a link to sign in and open it. The file is not attached, and the email does not name the document. In their account it is listed under Documents from your clinic, with a View button.
Knowing whether they have opened it
Beside the document the card shows when you sent it and whether it has been opened, for example Sent 22 Sep, not yet opened or opened 23 Sep.
- Resend opens the same panel with Resend email, for a patient who cannot find the email.
- Remove access stops the document opening in their account straight away. You can send it again later.
If the email did not go
If the document was shared but the email could not be sent, the card says Shared, but the email could not be sent. The document is already in their patient account, so press Resend to try the email again. A line starting Email not sent or Email bounced beside the document tells you the same thing later: check the email address on their record, then resend.
When it cannot be sent
- No patient account yet. A patient needs a patient account to open a document. The card says so and offers Send portal invite. Once they have set up their account, send the document.
- No email address on file. Add one to their record first.
- They have asked not to receive messages, or their address has bounced before. The panel tells you, and you tick Send it anyway if you still need to send it.
Who can send
Anyone at your clinic with the Clinical record switch on, which is the same access that lets them see the document on the record. Receipts are not sent this way.
