A patient's financial history on the Billing tab
Every patient record has a Billing tab. At the bottom of it, the Financial history card lists the money this patient has paid you and any refunds, newest first, in one place. If you moved to AesthetiClinic from another system, the payments carried across from that system sit in the same list, so you no longer have to look in two places.
Finding it
- Open the patient's record from Patients.
- Choose the Billing tab.
- Scroll to Financial history. The number of entries shows at the top right of the card.
What each line shows
- Date, Type (for example a booking reservation fee, a balance or a product sale), Description (usually the treatment it was for), Method and Amount.
- A refunded tag on any payment that was refunded, or reversed with Correct a payment.
- Lines from your old system carry a From your previous system tag. Where the old system gave us a copy of the receipt, a View button opens it.
Only money that actually moved is listed. A card payment that failed, or one still waiting to go through, does not appear.
Narrowing the list
- All shows everything.
- AesthetiClinic shows only payments taken since you started using AesthetiClinic.
- Previous system shows only what was carried across. Two more buttons then appear, Ledger and Receipts, to show just one kind of record from the old system.
The card shows 20 lines at a time. Press Show more to see the next 20.
Good to know
- Nothing in this card can be edited. To put a mistake right, use Correct a payment on the appointment. See Correcting a recorded payment.
- Account credit has its own list in the Account credit card higher up the same tab.
- For receipt numbers and printable receipts, go to Finance, Receipts. See Receipts and credit notes.
- If the card says Financial history could not be loaded, reload the page. It never shows an empty history just because something failed to load.
