Setting up no-show and late-cancellation fees
You can automatically charge a fee to the card a patient used at booking when they do not attend, or when a booking is cancelled at short notice.
Turning it on
- Connect Stripe first, so there is a card on file to charge. Until then, no-shows are recorded but no fee is taken.
- Go to Settings > Clinic and find No-show & cancellation fees.
- Tick Charge a fee for no-shows and late cancellations.
- Set the Fee amount and the Late-cancellation window in hours.
- Press Save fee settings.
How it charges
- No-shows: marking an appointment as a no-show charges the fee automatically.
- Late cancellations: a cancellation inside your window is pre-ticked to charge the fee, but you confirm it on each cancel, so you can always waive it.
- The fee is charged to the card taken at booking and settles to your own Stripe account, the same as a deposit. It can never be charged twice for the same appointment.
Be upfront with patients
Tell patients about the fee in your Booking page information and your terms (both editable in Settings > Clinic). While the fee is on, the card used at booking is kept on file so there is something to charge; patients are not asked separately.
