Marking a no-show and what happens next
When a patient does not turn up, mark the appointment as a no-show so the record is right and the follow-up machinery can do its job.
Marking it
- Click the appointment on the Calendar.
- In the drawer, set Status to No show.
- Press Save changes. The block turns red-tinted on the diary.
What follows automatically
- The fee, if you have one. If no-show fees are enabled in Settings, the drawer warns you before you save: marking as no-show will charge the fee to the card on file, if there is one. After saving, a small notice in the corner tells you exactly what happened: the fee was charged, there was no card on file, the card was declined, or the card needs the patient to authenticate.
- Day status is cleared. Any Arrived or Ready marker is removed.
- The slot can go to your waitlist. With waitlist auto-fill on, the freed time is offered to matching waitlist patients with a claim link, though very short-notice slots are skipped by your minimum-notice setting.
- A no-show follow-up message. The messaging automations include a no-show follow-up to re-engage the patient; see the reminders and lifecycle messages article.
Marked in error?
If the patient appears after all, open the drawer and set the status back to Confirmed or Completed. If a fee was already taken, refund it from your Stripe dashboard; the charge settles to your own Stripe account like a deposit.
