What reception can and cannot see

The reception role is built for the front desk: everything needed to run the day, nothing from the business back office. It is also free, so adding reception staff never increases your subscription.

What reception can do

Reception sees the working clinic: the Dashboard, Calendar, Patients, Waitlist and Messages, plus the clinical pages (Forms, Prescriptions, Shifts) and the business basics of Finance, Stock, Reports and Refer & earn. That covers booking patients in, managing the diary, answering messages, taking payments and keeping records tidy.

What reception cannot do

Owner-only areas are hidden from reception's menu entirely, rather than shown and blocked, so they never hit a dead end:

  • Settings: the whole settings area (clinic details, treatments and prices, team, billing, integrations, memberships, reviews moderation, messaging templates) is owner-only.
  • Campaigns and Conversion: the marketing and growth tools are owner-only too.

Even if someone tried to reach those pages directly by URL, the server refuses: changes to the team, integrations, memberships and campaigns all check for the owner role before doing anything.

One thing reception is not

Reception is not a restricted-clinical role. They can see patient records, because answering the phone usefully requires it. If someone should be treating patients rather than managing the desk, give them the practitioner role instead; that is also what makes them appear as a bookable practitioner with their own diary.

And the seat is free

Your subscription is per practitioner. Active staff in the owner, prescriber and practitioner roles each count as a billable seat; reception does not. Add as many reception team members as your desk needs.
