Sending a one-off patient email

You can send a one-off email about a patient's care from their record. Use this for a personal care message, not offers or promotions.

Sending the email

  1. Open the patient's record and find the Messages card.
  2. Choose Send an email.
  3. Enter a Subject of up to 150 characters and a Message of up to 4,000 characters.
  4. Check the recipient and message, then press Send email.

The message uses your clinic's branding and reply address. Its subject and body appear in the patient's message history and conversation.

Links and formatting

The message is plain text. You can include up to ten links beginning with https://, each up to 500 characters. Links show their full address. Other links remain text.

If messages are switched off for the patient

You will see a warning if the patient is set not to receive automated messages. If this is care they need, review the warning and press Confirm and send email when asked to confirm. The send is recorded on their record.

An address that has bounced or reported spam cannot receive this email. Check the address and use another suitable way to contact the patient.

Sending limits

You can send up to five of these emails to one patient in 24 hours. Each staff member can send up to 30 in an hour, and the clinic can send up to 300 in 24 hours. Trial clinics also share a limit of 50 emails in 24 hours across manual patient emails, individual portal invitations and template tests. If a limit is reached, follow the wait message and try later.

Checking the result

Check the patient's Messages card or conversation for the outcome. A sent message has been handed over for delivery; it is not a guarantee that the patient has read it.
