Running more than one location

If you run more than one site from a single account, you can add each one as a location. Patient records, treatments, forms and reports stay shared across every location. Only the diary, your team's shifts and where a patient books differ by site.

Adding a location

Go to Settings > Locations. Your existing site is already there as the default location. Press Add location, give it a name and, ideally, an address and phone number. The address is what patients see on the booking page and in their confirmation and reminder emails, so it is worth filling in.

One location is always the default. You can change which one with Make default. The default is where any appointment with no specific location belongs, so it can never be archived. To retire a location, clear or move its upcoming appointments first, then Archive it. Archiving hides it from booking but keeps its history, and you can restore it later.

Shifts per location

Once you have more than one active location, the Shifts page shows a location box on each shift you add. Set it to the site the practitioner works that day. A practitioner can work different sites on different days, or different parts of the same day. Availability is worked out per location: a shift at one site never offers slots at another. Shifts you set up before you had a second location stay on the default location until you change them.

How patients pick a location when booking

When you have more than one active location, the online booking page adds a Choose a location step, with your default preselected. Patients pick the site they want, then the day and time strip shows only that location's availability. Their confirmation email, calendar file and reminders all show the address of the location they booked. Clinics with a single location see no location step at all, exactly as before.

The calendar filter

On the Calendar, location filter chips appear above the diary. The default view is All locations, so you see everything at a glance. Tap a location to show just that site's appointments and working hours; tap All locations to go back. When you add an appointment in the diary, you choose its location on the new-appointment form, defaulting to whichever location you are filtered to.

What stays shared

Locations only split the diary and where people book. A patient is one record no matter which site they visit, your treatment menu and prices are the same everywhere, and your reports, finance and stock are clinic-wide. There is nothing to reconcile between sites: it is one clinic with more than one front door.

Opening hours for each location

Each location keeps its own opening hours. In Settings > Locations, open a location and use the Opening hours editor. There is a row for each day from Monday to Sunday, with a tick to mark the day open and start and end times in 15-minute steps. Untick a day to show it as closed, then click Save hours.

These hours are shown to patients in a few places: the footer of your booking page, the location cards patients pick from when they choose where to book (which show whether you are open today and your hours for the week), and your clinic's directory profile. Keeping each location's hours accurate means patients always see the right times for the site they are booking.

Tidy, structured addresses

Addresses are held as separate fields rather than one block of text: Address line 1, Address line 2, Town, County and Postcode, plus an optional Arrival note for things like "Black doors beside the cafe". Structured fields let your address display neatly on your booking page and directory profile. If you leave Address line 1 blank, the single-line address is used instead.

If a location still has its address on one free-text line, you will see a Suggest split button. It reads the single line and proposes a breakdown into the tidy fields for you. It only ever suggests: the proposed split appears in the form for you to check, adjust anything that looks off, and then Save changes. Nothing is changed until you save.
