Offering some treatments at a location
If you run a second location that only does part of your menu, for example anti-wrinkle and consultations one day a month, you can say exactly which treatments are offered there and which days you work there. Patients booking at that location then see only those treatments, and only on those days.
Choosing the treatments offered at a location
Go to Settings > Locations. Once you have more than one location, each one has a Treatments offered here section. Every location starts on Every treatment, which is how it has always worked.
- Open Treatments offered here on the location.
- Choose Only the ones I choose.
- Tick the treatments to offer there. Each category has Tick all and Untick all.
- Press Save treatments.
You need to tick at least one. To stop taking bookings at a location altogether, archive it instead. A treatment you add later is not offered at a location set to Only the ones I choose until you tick it there, so a small second site never picks up your whole menu by accident. Choosing Every treatment again puts the whole menu back.
You can do this on an archived location too, so a location you are bringing back can be set up before you press Restore and is never live with the whole menu.
Working at another location for a day
On the Shifts page, Add time off or an extra shift has a Location (extra shifts only) box once you have more than one location. Add an extra shift on the day you are at the other location and choose it there. Leaving it on your default location works exactly as extra shifts always have.
- An extra shift at another location counts only at that location.
- Those hours come out of your time at every other location that day, so patients at your main location are not offered times while you are away.
- Time off has no location: time off applies at every location.
- If a team member is set to work only at certain locations (the Works at setting in Settings > Team), an extra shift can only be given one of those.
The month view shows the location under the hours on that day, and the list of time off and extra shifts shows it beside the times. In the diary, on All locations, working time at another location is labelled with its name, and a new appointment you add in it defaults to that location.
What patients see
- Choosing a location first shows only the treatments offered there.
- A treatment offered at only one location shows that location instead of a choice.
- If a patient follows an old link to a location that does not offer the treatment, the page says so and shows times at a location that does.
- A second treatment added to the same visit that the location does not offer is left out of the visit, with a line saying why.
- The waitlist only offers a freed-up time to patients who asked for that location, or for any location, and never for a treatment the location no longer offers.
Your team can still book any treatment at any location from the diary: this only changes what patients can book online. Nothing already booked is cancelled, moved or emailed.
An example
You work at your main clinic Monday to Friday and at a second clinic on the first Wednesday of each month, offering only anti-wrinkle and consultations there:
- In Settings > Locations, set the second clinic to Only the ones I choose and tick anti-wrinkle and your consultation.
- On Shifts, add an extra shift on each of those Wednesdays with the second clinic as its location.
Patients who choose the second clinic see those two treatments, with times only on those Wednesdays. Patients who choose your main clinic see your whole menu, and no times on those Wednesdays during the hours you are away.
