Offering a posted copy of a gift voucher

When patients buy a gift voucher online, you can offer to post them a printed copy as well, for a postage fee you set. It is handy for birthdays and Christmas, when people want something to put in a card.

Turning it on

Only a clinic owner can change this.

  1. Go to Settings, Offers and scroll to Gift vouchers.
  2. Tick Offer a posted copy.
  3. Enter the Postage you want to charge. Leave it at 0 to post it for free.
  4. Press Save.

The voucher is always emailed as well. You post your own card or printed voucher with the code on it: nothing is printed or posted for you.

What the buyer sees

On your gift voucher page, under How would you like it?, they choose By email (free) or Also post a printed copy to me, which shows your postage fee. If they choose the posted copy, the postage is added at payment and they enter a UK postal address there. Their confirmation email says a printed copy is on its way.

The printed copy always goes to the buyer, not to the person the voucher is for, so they can hand it over themselves.

Posting it

  1. Go to Settings, Offers. In the vouchers list, a voucher waiting to go out shows Post this voucher with the buyer's address.
  2. Write or print the voucher code on your card and post it.
  3. Press Mark posted. The voucher then shows the date it was posted.

How the postage is accounted for

The postage is not part of the voucher's value. The voucher is worth the amount chosen, and the postage is a separate charge. In your VAT report and in Xero, the postage is counted as an ordinary standard-rated sale, the same way postage on shop orders is, while the voucher value stays in stored value until it is spent.
