Loyalty points

Loyalty points reward your regulars: patients earn points on money they pay you online, and you turn those points back into account credit towards a future treatment. It is one simple, continuous scheme, with no tiers.

Switching it on

The scheme is off by default, so nothing is earned until you turn it on. Go to Settings → Loyalty (owners only) and set the three values that run it:

  1. Points earned per £1 spent (default 1).
  2. What one point is worth when redeemed, in pence (default 5p).
  3. Minimum points a patient needs before they can redeem (default 100).

With the defaults, 100 points is worth £5 of credit. The page shows a live worked example as you change the numbers, so you can see exactly what a patient earns and what it costs you.

How patients earn

Earning is automatic, but only on payments taken through the platform's online card processing: booking reservation fees and prepayments made when a patient books online, and balances paid through the payment links or QR codes you send. Each payment can only ever earn once.

Payments taken any other way do not earn points: cash, your own card terminal, bank transfers, and anything you record by hand. Top-ups, no-show fees and refunds never earn either.

Seeing a balance

A patient's points appear in a Loyalty points panel on their record. Once a patient has points, they can also see their own balance in their online account. Balances are always worked out from the payment history, so they stay correct; there is currently no on-screen list of individual point transactions.

Redeeming

Redemption is staff-initiated. On the patient's record, use Redeem for credit: the points convert to account credit automatically at the rate you set, subject to the minimum, and never for more than the patient's balance. Patients cannot redeem their own points.

That credit is then spent at the desk by recording a payment with the account credit method. Points and credit cannot be used during online booking checkout, so redeeming is always something you do with the patient at the desk.

Choosing your rates

The defaults are a sensible starting point: 1 point per £1, each point worth 5p, a 100-point minimum. That is 5% back once a patient has spent £100 with you: generous enough to notice, cheap enough to sustain. Adjust the three values to suit, and let the worked example on the page confirm the maths before you save.
