Appointment statuses explained

Every appointment carries a status, and the calendar colours each block so you can read the day at a glance. A legend along the top of the day and week views reminds you what each colour means.

The statuses

  • Confirmed. A solid teal block. The booking is locked in. Appointments you create from the diary start as confirmed.
  • Pending deposit. An amber-outlined block. The patient booked online but their deposit payment has not completed yet.
  • Completed. A muted grey block. The visit happened; the appointment is done.
  • No show. A red-tinted block. The patient did not attend. Marking a no-show can trigger an automatic fee and a waitlist offer; see the article on marking a no-show.
  • Cancelled. A dashed, struck-through block. Cancelled appointments are hidden by default; tick Show cancelled in the calendar toolbar to see them, along with the cancellation reason in the drawer.

Changing a status

  1. Click the appointment on the calendar to open its drawer.
  2. Pick the new status from the Status dropdown: Pending deposit, Confirmed, Completed or No show.
  3. Press Save changes.

Cancelling is deliberately separate: use the red Cancel appointment section at the bottom of the drawer, where you can record a reason and, if fees are enabled, decide whether to charge a late-cancellation fee.

Why it pays to keep statuses accurate

Statuses feed your reporting, your no-show rate and the follow-up messages patients receive, so a quick status update at the end of each visit keeps everything downstream honest.
