Who is due back
The Due back tile on your dashboard counts the patients who are overdue a return visit for a treatment and have not booked it. Press it to open the Patient list narrowed to exactly those patients, with a Due for column naming the treatment and the date they became due. Tick Due back for a treatment in the Patient list's own filters to get the same list.
Who counts as due back
A patient is due back for a treatment when all three of these are true:
- Their last completed appointment for that treatment was at least the treatment's rebook interval ago. A later visit for the same treatment resets the clock, and a cancelled or missed appointment is not a visit.
- They have no future appointment booked for that same treatment. A future appointment for a different treatment does not take them off the list, and a booking that has been cancelled or marked as a no-show does not count as booked.
- They are an active patient. Archived records are never listed.
The tile counts patients, not treatments, so someone due back for two treatments is one patient on the tile and one row on the list, with both treatments named.
Where the interval comes from
Each treatment has its own interval, set under Settings > Treatments in Rebook after (days). A treatment with no interval never makes anyone due back.
How it differs from the automated recall email
The automated rebooking email goes once, when the interval is reached, and only to patients who have agreed to marketing email. This list is wider on both counts: it keeps a patient on it until they book, however long that takes, and it lists them whether or not they agreed to marketing, because it is a list for your team to work through rather than a message. Marketing consent still governs any promotional message you send from it.
As soon as a patient books that treatment again, they drop off the list.
