Who can I market to?

Marketing consent is recorded on every patient record and you can look at it two ways: filter the patient list to see who is in each group, or download the group as a CSV for your email or texting tool.

Filter the patient list

Open Patients and use the consent box beside the search field. There are four groups:

  • Email opted in: patients who have agreed to marketing emails.
  • SMS opted in: patients who have agreed to marketing texts.
  • Opted out: patients who have withdrawn consent on either channel.
  • Never asked: patients whose consent has never been recorded. This is not a refusal, it usually means nobody has asked them yet.

Consent is recorded per channel, so the groups overlap on purpose. A patient who takes your emails and has refused texts appears under Email opted in and under Opted out, and the Marketing column on each row shows exactly which channel is which.

A row marked No contact has given consent but has messages switched off on their record, so they are shown separately and are never included in an export. Only active patients are counted; archived ones are left out.

See the totals

Go to Settings > Data & export. Above the export buttons you will see how many active patients are opted in to email, opted in to texts, have opted out and have never been asked, with the number of rows each file will contain. Only clinic owners can see this page.

Download a campaign list

On the same page, Email opt-ins (CSV) gives you first name, last name, email address and the date the patient was registered. Text opt-ins (CSV) gives you the same list for texts, with the phone number instead. Both files contain only active patients who have opted in, have an address or number on file, and do not have messages switched off.

The files are for your own campaign tool. Nothing is sent from AesthetiClinic when you download one, and the download is recorded in your audit trail like any other export of patient contact details.

Changing a patient's consent

Open the patient, find the Consent panel and tick or untick Marketing emails or Marketing texts. Unticking a box that was ticked records the date and time they withdrew, which is what moves them into Opted out. Patients can also withdraw consent themselves from the unsubscribe link in any marketing email.
