Changing a treatment in the room, and taking a different price
Last updated
Nothing you have set up has changed. This is about what happens when a patient ends up having something different from what they booked, or you agree a different price in the room.
What's new
Changing a treatment now asks about the price. When you change the treatment on an appointment and the price is different, you'll see the old price, the new price and anything already paid. Before saving, choose either Charge the new price or Agreed a different price and type what you agreed. If it's less than the new price, the difference is saved as a discount so the patient doesn't show as owing.
Taking less at checkout now asks what the difference is. If you take less than the visit costs, you'll be asked whether to record the difference as a discount or leave it owing. Before, a lower payment quietly left the rest showing as owed on the patient's record.
Adding a treatment in the room is easier to find. If the patient has something extra, use + Add a treatment, which sits beside Change treatment on the appointment.
Discounts saved this way use the reason Agreed price in clinic unless you pick another, so they show up separately in your discount reports.
What you might want to do
Have a quick look at any recent visits that show a small amount owed when the patient actually paid in full. These are usually treatments that were changed in the room. Open the appointment, go to Payment, then Treatment prices, press Discount and set the price that was agreed. The visit will then show as settled.
If the visit already has an invoice, the discount option won't be offered. Get in touch and we'll sort it with you.
