What is inside your data export

The one-click export from Settings > Data & export produces a single ZIP. Here is exactly what you will find inside it.

The CSV files

A csv folder holds one CSV per exported table. That includes your patients and selected related records (alerts, allergies, notes, forms and submissions, treatment records and their products, treatment maps, photos and documents, skin assessments and patch tests), your treatments, categories, products and appointment types, shifts and overrides, appointments, waitlist entries, reservation requests and payment links, payments, the credit ledger, the message log and the audit log. Anything structured is stringified into the cell, so nothing is dropped for being complex.

Prescriptions and ID checks (csv/prescriptions.csv and csv/id_checks.csv) are included only when the owner running the export also has clinical access; otherwise they are left out and the summary says so.

This ZIP does not include every clinic table. For example, staff and credential records, locations and clinic settings, invoice tables, memberships and packages, stock-movement history and clinical access events are outside its table list. Download the Access log separately if you need that history, and contact support for other datasets you need.

Your files

A files folder holds your stored photos and documents. Very large media libraries are capped at 500 files or around 200MB per export, and the export also has a time budget; if either is hit, a MANIFEST-TRUNCATED.txt file lists known skipped or failed files. If a bucket could not be listed, it reports the affected bucket instead of naming every file, and you can contact support for a full media export at no charge. Each table has a 50,000-row limit. If a table hits that cap, a MANIFEST-INCOMPLETE-TABLES.txt file names it.

The ZIP downloads while the export is being prepared. Keep the download running until it finishes. If ERROR.txt is present, the export stopped part-way through: read it and export-info.txt, then retry or contact support. Any partly downloaded stored file is named in MANIFEST-TRUNCATED.txt; use a complete copy before relying on that file.

The summary

An export-info.txt file records your clinic name, when the export was generated, a row count for every table, how many stored files were included and reported omissions within the export's supported scope. It does not list every dataset outside that scope. Keep it with the ZIP; it is your proof of what was taken and when.

Who can export, and the record of it

Only the clinic owner can run the export, and every export is itself written to the audit trail, recording who requested it, when, and that it started. Final counts and omissions are in the ZIP summary and manifests. A clinic can run up to five exports an hour, with only one running at a time.
