Staff credentials and expiry reminders
The credential vault keeps each practitioner's registrations, insurance and training in one place, with expiry dates, and emails you before anything lapses. It is the folder an inspector or insurer asks for, kept current automatically instead of in a drawer.
Where it lives
Go to Settings > Team. Each practitioner has a Credentials section, and there is a separate Clinic documents area for things that belong to the clinic rather than a person, such as premises insurance. Credentials are owner-only, because they include sensitive records like DBS certificates.
Adding a credential
- Choose the type: professional registration (for example an NMC PIN or GMC number), indemnity insurance, DBS, training or a licence.
- Record the issuer and any reference number, the dates it was issued and expires, and optionally upload a scan or PDF.
- Save. The credential appears on the practitioner's card with its expiry.
Expiry reminders
Anything expired shows in red and anything within 60 days in amber, so the status is obvious at a glance. Separately, the clinic owner receives an email digest when a credential has expired or is due to expire within 30 days, so a lapsed policy or registration is caught before it becomes a problem. You can switch that digest off under your messaging settings if you prefer.

England's licensing scheme and Scotland's clinic registration both turn on being able to evidence who is qualified, insured and checked. Keeping this current in one owner-only place means you are ready to show it, rather than scrambling to assemble it.
