Rooms and equipment: using resources

Some things in a clinic are scarcer than people. If two practitioners share one laser, being on shift is not enough; the machine has to be free too. Resources model exactly that.

What a resource is

A resource is a piece of shared equipment, such as a laser machine, with a quantity. Booking slots for a treatment that needs the resource are only offered while one is free, so online booking can never promise two laser appointments at once when you own one laser.

Setting one up

1. Go to Settings > Resources.
2. Under Add a resource, give it a name, for example Laser machine, and a Quantity, then press Add resource.
3. On the resource's card, press Edit treatments and tick each treatment that uses it, then Save treatment links.

The card shows which treatments are linked at a glance, for example Used by: Laser hair removal. If you have not added treatments yet, set those up under Services first.

Quantity matters

Quantity is how many of the item you own. Two IPL handsets means quantity 2, so two linked treatments can run at the same time but a third cannot. Keep it honest; an optimistic quantity puts impossible bookings back on the table.

Retiring equipment

When a machine is sold or scrapped, press Archive on its card. It stops constraining bookings without disturbing your history.

What resources are not

Resources are not staff. Practitioner availability comes from shifts; resources sit on top, as an extra condition that must also be satisfied before a slot is offered.
