Chasing outstanding forms

The Outstanding forms page helps you chase forms that have been raised for patients and not yet completed. It shows up to the 500 most recently sent requests, so in a clinic with more outstanding requests it is not a complete list. A form shown as sent is not proof that its email was delivered.

Finding it

Open Forms → Outstanding forms, or press the Forms awaiting completion tile on your dashboard. Your dashboard's red-flags panel also names consent and medical history forms still missing for the next 24 hours of appointments.

Reading the list

Forms are ordered by how soon they are needed: upcoming appointments first, then forms with no appointment attached. Requests belonging to past or cancelled appointments are folded away behind a toggle so the list stays focused on what you can still act on. Opened means the patient has looked at the form but not finished it; Sent means they have not opened it at all.

The calendar drawer counts this visit

The calendar drawer's forms outstanding badge counts pending forms for this visit, including all its treatment legs, plus pending forms with no appointment attached. Press it to open the patient's forms for this visit.

Pending forms for separate bookings appear underneath as N more for other bookings. Press that line to open the patient's full forms list. Forms complete appears only when this visit has form requests and neither this visit nor the unattached forms has anything pending. A completed form from another booking does not mark this visit complete.

This changes the drawer's count only. It does not remove requests or change which forms are sent. The Outstanding forms page and the Forms navigation count still cover the clinic's actionable requests.

What you can do from here

• Copy link puts the form's link on your clipboard, ready to paste into a text or message of your own.
• Open opens the form on your device, so you can hand a tablet to the patient in clinic.
• Cancel withdraws the request. The link stops working and the form leaves your counts. Use it when the paperwork was done on paper in clinic, or a form was sent in error. Cancelling a request never touches anything already signed.

Read an existing medical history

A pending Confirmation of No Changes form does not mean the full questionnaire is missing. With clinical access, press Medical history in the calendar appointment drawer to read the latest completed full questionnaire on an active template. This does not complete or cancel any outstanding request.

The chase runs itself

You rarely need to send anything by hand from here: outstanding forms attached to an appointment are included in that appointment's reminder emails when those emails send. Forms sent by hand with no appointment attached are not chased this way, so share those links yourself. This page is for seeing where things stand, handing a device over on the day, and clearing requests that no longer apply.
