Adding an appointment from the diary

The quickest way to book a patient in is straight from the calendar itself.

Creating the appointment

  1. Open the Calendar and find the day, in day or week view.
  2. Click the empty space in the diary at the time you want. A New appointment drawer opens from the right, with the practitioner, date and time already filled in from where you clicked.
  3. Search for the patient by name or phone number and pick them from the list.
  4. Choose a Treatment, and optionally an Appointment type, add any notes, then press Create appointment.

How the duration is worked out

You rarely need to type a duration. The booking length comes from, in order of priority:

  1. A number you type in the Duration (min) box, which overrides everything.
  2. The appointment type's duration, if the type has one set.
  3. The treatment's own duration.

The drawer shows a preview line, for example Books 30 minutes, 10:00 until 10:30, so you can see exactly what will land in the diary before you save.

What happens automatically

When you book a real patient in this way, the system behaves exactly as it does for an online booking: the patient receives their booking confirmation, and any forms set to go out before appointments are created and linked in that same email. You do not need to send anything by hand.

If the slot is taken

The diary will not let two appointments overlap for the same practitioner. If the time clashes with an existing booking, you will see That slot clashes with another appointment and nothing is saved. Pick another time and try again.
